A plain-English list of every kind of information Homeschool Platform stores about your family — and, importantly, the things we deliberately don't collect.
Homeschool Platform is built around data minimization: we collect the smallest amount of information needed to run your Organization's operations. If your Organization doesn't need a piece of information for their work, we don't ask for it.
About each student
For every student enrolled in your Organization, we store:
- First and last name — required to track them as an individual
- Grade level — required for class placement and reports
- Date of birth — required if your Organization issues transcripts or files with the state; optional otherwise
- Photo / avatar — optional, parent-controlled
- Educational records your Organization actively maintains — attendance, grades, assignments, transcripts, hour logs, subject logs, etc. — only what your Organization chooses to record
About your family
- Parent and guardian names + contact info (email, phone, address) — for communication and billing
- Household information you choose to provide during registration
- Communications you send through the platform (messages, comments, notes)
- Payment information — handled directly by Stripe; we never see card numbers
Automatically collected (for security + operations)
- IP address — for security, abuse prevention, audit logging
- Browser and device type — for compatibility and security
- Pages visited — in server and error logs, for security and troubleshooting; not used to build individual profiles
- Login timestamps — for security monitoring
Things we deliberately don't collect
We've made specific choices NOT to ask for the following — even if a tenant or feature might benefit from them — because the privacy cost is too high:
- ❌ Social Security numbers — never, for any purpose
- ❌ Driver's license numbers — never
- ❌ Religion — not a default field, not requested
- ❌ Ethnicity or race — not a default field
- ❌ Income, financial aid status, household assets — your Organization handles any financial-aid evaluation outside the platform
- ❌ Health insurance information — not collected
- ❌ Mental health diagnoses — not a default field; tenants serving special-needs students who need this must opt in to a separate feature with stricter access controls
- ❌ Biometric data — no fingerprints, no face recognition, no voice prints
- ❌ Geolocation tracking — we don't track where students are physically located
Things we deliberately don't do with what we have
- ❌ Sell your data — never, to anyone
- ❌ Use student data for advertising — your kids never become an ad audience
- ❌ Use student data to train AI models — your child's work, grades, and writing stay yours
- ❌ Share data with third parties for marketing — only our named subprocessors who help run the platform
- ❌ Contact or market to your family — apart from automated account messages such as password resets, emails you receive through the platform are sent on behalf of your Organization, which is responsible for keeping you informed, including if it leaves the platform or closes
- ❌ Combine your family's data with data from other sources — we don't enrich your profile with third-party data brokers
- ❌ Track you across other websites — no advertising or tracking pixels in the platform. If your Organization adds analytics to its public website, that website asks for your consent first
Optional features your Organization may enable
Some tenants need additional features that require additional data. These areoff by default and only collect data if your specific Organization turns them on:
- IEP / 504 / accommodation notes — only enabled by tenants serving special-needs students; access restricted to instructors and admins who need it
- Standardized test scores — only enabled by tenants in states that require them (e.g., NC homeschool reporting)
- Photo galleries — opt-in per parent; can be declined without leaving the platform
- Health information — only when your Organization explicitly needs it (medication, allergies for in-person classes); always tenant-opt-in
Who can see what
- You — full access to your family's information at all times
- Your Organization's admins — full access to families enrolled with them; can't see families from other organizations
- Your Organization's instructors — access to students in their classes only
- Other parents at your Organization — cannot see your family's private data
- Homeschool Platform staff — access only for support requests you initiate, or to investigate security incidents; all access is logged
- Other Organizations — never; tenant data is strictly isolated
How long we keep it
- While your Organization uses the platform — its records, including finalized archives (transcripts, IHIP, portfolio evaluations), stay available
- Finalized archives — also emailed to your family when finalized, so you have your own copy; keep it
- Audit logs (access records, modification history) — kept with your Organization's data for security, and deleted along with it
- If your Organization leaves the platform — it may request an export for 30 calendar days after its paid subscription ends; after that we have no obligation to keep the records, and they may be deleted. Long-term record keeping required by state law is your Organization's responsibility
